Terms and Conditions for the Hosted Buyer Meetings
Apply to Qualified and Approved Participants.
SyllabusX offers specific benefits to eligible participants, including complimentary Full Conference Registration & Exposition, for full-time executives employed by Retailers, Brands, Restaurants, and Fulfillment Centers, as well as the potential reimbursement of up to $750 for travel and/or hotel expenses for qualified and approved participant, subject to the following terms and conditions:
- Qualifications for a Free Ticket: To qualify, individual must: (a) Be directly employed full time by a retailer, restaurant, brand, or a fulfillment center. (b) Be responsible for procuring or assessing retail, last-mile delivery, return, e-commerce technology, fulfillment or other related solutions for their respective organizations. (c) To receive a free registration ticket, participant commits to participating in up to eight (8) 15-minute on-site meetings with participating sponsors, exhibitors, or attendees, known as “Premium Hosted Buyer Meetings.” These meetings are arranged through a double opt-in process to ensure their relevance to all participants.
- Qualification for up to $750: To qualify, for up to $750 for travel and hotel expenses following the event, individuals must, in addition to meeting the qualifications for receiving a free registration ticket, must participate in 12 or more meetings (an additional 4+ meetings), 15-minute on-site meetings with participating sponsors, exhibitors, or attendees, known as “Premium Hosted Buyer Meetings.” These meetings are arranged through a double opt-in process to ensure their relevance to all participants.
- Premier Participants: Premier Participants are Premier Sponsors, Premier Exhibitors, and Premier Conference Attendees. All scheduled Hosted Buyer Meetings must exclusively be with Premier Participants only.
- Non-Premier Participants: Non-Premier Participants include any attendee who is not categorized as a Premier Participant, including expo visitors and media representatives. Meetings scheduled with Non-Premier Participants do not count toward the required minimum meetings for the Hosted Buyer Meetings.
- Meeting Time Slots: Participants must commit to be available for all time slots (local time of the host city) dedicated for Premium Hosted Buyer Meetings on the event days as published in the official event(s) program. Participant must monitor the launch of the platform, which is 30 days prior to the first day of the event. Participants can manage their availability within the dedicated program hours by indicating specific time slots in the Hosted Buyer Meetings using WanaMeet platform schedule when they are available to participate in potential meetings. All meeting schedules must be confirmed at least 15 days before the event’s first day. Meeting schedules must be spread across two days and cannot be back to back. You will not need to miss any agenda sessions for these meetings.
- Travel Arrangements: Participants are responsible for arranging their own travel and accommodations to attend the event and meetings. While SyllabusX cannot guarantee the availability of the event’s hotel room block, it’s recommended to book early. Please note that SyllabusX is not liable for any cancellation fees or penalties.
- One-to-One Meetings: We cannot accommodate requests to merge meetings with other participants from your organization in the Hosted Buyer Meetings. Each individual enrolled from your organization must independently complete their own minimum set of up to eight (8) One-to-One meetings to qualify. In the case that you cannot attend your meetings alone for any reason, you will not qualify for a complimentary conference registration ticket or for travel/hotel reimbursement. Should you be scheduled for fewer than 8 meetings, attendance is only necessary for the meetings arranged by us.
- Incomplete Meetings: If you pick up your event badge or attend the event but fail to complete one or more scheduled meetings, you will be disqualified from receiving any reimbursements related to travel or hotel expenses. Additionally, your credit card will be charged the registration fee for your conference registration ticket, as authorized by you.
- Substitution: A substitute is allowed provided they possess equivalent qualifications. Should you, as an approved participant of the Hosted Buyer Meetings, become unable to attend while still affiliated with your organization, you consent to nominate a replacement from your organization. Approval for any substitute is subject to our prior confirmation via email. All substitution requests must be directed to info@syllabusx.com.
- Notice of Employment Change: If you (a) are no longer employed by, or (b) become aware before the event that your employment status with the retailer, brand, restaurant, or fulfillment center, based on which your participation was approved in the Hosted Buyer Meetings, will cease before or after the event, please promptly inform us. This will enable us to cancel your participation in the program accordingly. In such circumstances, you will lose eligibility for the Hosted Buyer Meetings participation, as well as for receiving any travel/hotel reimbursements or a complimentary registration ticket.
- Your Work Email Address: Throughout and even after the event, we retain the right to exclusively correspond with you using your work email address, irrespective of any alternate email address you may have provided or we might have previously used. The work email must be a business email, generic emails, such as Gmail, yahoo, outlook, icloud.com, etc. are not accepted under any circumstances.
- Reimbursement Requests: Please allow up to 6 weeks from submission of receipts for payment processing. SyllabusX does not provide reimbursement for mileage, points, or rewards utilized for travel or accommodation.
- Reimbursement Conditions: The free registration ticket and/or reimbursement of up to $750 is contingent upon fulfilling the following requirements:
- Social Media Engagement: Share your availability to meet with fellow participants at the LMD and its co-located events at least three times on one of the following social media platforms: LinkedIn or Twitter.
- Hosted Buyer Meetings Commitment: Attend and complete all of your scheduled Hosted Buyer Meetings with Premier Participants.
- Feedback Survey: After the event, provide feedback by submitting a brief survey. SyllabusX will also request Premier Participants to share feedback regarding their meetings with you.
- Expense Documentation: Submit valid travel and hotel receipts within the specified deadlines following the event.
- Credit Card Authorization: You agree to provide your credit card information, and authorize SyllabusX to process a $1 charge on your credit card as part of your SyllabusX event ticket registration. You also authorize SyllabusX to charge the cost of your registration ticket at the rate of $785 to your credit card if you do not complete your scheduled meetings as described in section (8) above.
- Information Sharing: SyllabusX reserves the right to share the information you provide with Premier Participants including participating exhibitors, sponsors, or attendees during different phases of the Hosted Buyer Meetings. However, following the event, we will exclusively share your email address with the sponsors, exhibitors, or attendees you met through the Hosted Buyer Meetings.
Qualification for the Hosted Buyer Program is determined solely by SyllabusX and may be revoked at any time. By completing registration, you agree to these Terms and Conditions for the Hosted Buyer Meetings Program.
